Stock

See quantities in a branch or across all branches, stock value at cost, each item's movements, and record adjustments or opening stock.

The Stock page shows how many of each item you have right now, and what's running low or has gone negative. It's also where you reach stock movements and adjustments.

Where to find it

From the menu: Stock → Stock. At the top there are tabs: Stock, Movements, Counts, and Transfers (if you have more than one branch). Each tab shows only if you have its permission.

Stock levels

The page shows the branch you have open (its name is under the title). If you have more than one branch, turn on All branches to see the total across branches.

At the top you see:

  • Items and Total qty.
  • Stock value at cost: with the See cost permission. Items without a cost aren't included.
  • Missing cost (for cost viewers): how many items you have in stock with no cost. Tap the card to see them, and tap again to show all.

You can filter:

  • Low: items at or below their reorder level.
  • Negative: items with a balance below zero.
  • Dead: items in stock that haven't sold for a long time. The number of days is set in Settings. This filter shows for people with cost or report permissions.

You can also search by name or barcode, or pick a category. Bundles don't appear here because they have no stock of their own.

Average cost

Mobilat keeps one average cost per item for the whole shop (not per branch). Each time stock comes in with a cost (a purchase, opening stock, or an adjustment that adds stock with a cost), the average is recalculated:

New average = (qty on hand × old average + new qty × its cost) ÷ (qty on hand + new qty)

If the balance is zero or negative, or the item had no cost before, the new cost becomes the average. On a purchase, the cost that feeds the average is the landed cost after extra costs are spread over the items. See Purchases.

This average is what profit on a sale, stock value and count differences are calculated with.

Negative stock

Stock can go below zero, for example if you sell something before entering its purchase. The owner chooses what the POS does in that case in Settings → Policies → Selling with no stock:

  • Allow: sells even if stock shows zero.
  • Warn: warns, then lets them continue.
  • Block: can't sell what isn't in stock.

This policy applies to selling at the POS. Adjustments and transfers show you when a balance will go negative, but don't stop you.

Movements

Every unit that comes in or goes out is recorded as a movement, and movements are never deleted or edited. Open the Movements tab on the Stock page.

Each movement shows the item, the type, the signed quantity, who did it and when, and the unit cost (if you can see cost). Under it there's a link to its document (the sale, purchase, count, transfer, or the whole adjustment).

Movement types: Purchase, Sale, Sale return, Sale voided, Adjustment, Opening stock, Transfer in, Transfer out, Count correction, Purchase return, and Purchase voided.

Filter by item, type or date. When you pick one item you see On hand now, In, Out and Average cost, plus the balance after each movement. You can also jump to one item's movements from its item page, under Stock by branch.

Movements include cost, so you need the See cost or Adjust stock permission.

Adjust

An adjustment fixes a quantity that doesn't match reality: something broke, got lost, was given away, or was counted wrong. To count a shelf or the whole shop, use a stock count instead.

Open an adjustment

On the Stock page tap Adjust. The adjustment is recorded on the branch you have open.

Pick the kind and reason

Adjustment or Opening stock. Then the reason: Damaged, Lost, Gift, Correction or Opening stock, or write it in the note.

Add the items

Scan or search. Each scan adds one, and you can change the quantity after. For an adjustment, choose + Add or − Remove for each item. You see the balance Now and After.

Cost (when adding only)

When adding stock with the cost permission, enter Unit cost (optional). Blank uses the current average. If the item has no cost yet, enter one so profit is right.

Review and save

Tap Review & save. You see Adding, Removing and Effect on stock value, then Save adjustment.

Adjustments are permanent. Fix mistakes with a reverse adjustment.

Opening stock is what you had before starting on Mobilat. Enter its cost so profit is right. You can also record it while adding an item, or through an Excel import. See Items.

Adjustments need the Adjust stock permission.
