Point of sale
How to sell at the POS. Scan or search, give discounts, and take cash, wallets or credit.
The POS is where you sell. Scan a barcode or search for an item by name, then tap Pay and choose how the customer paid. The sale is recorded, and stock and money update on their own.
Where to find it
In the menu: Sales → Point of sale. On a phone it is also in the bottom bar as Sell.
You need the Sell at the POS permission. Without it you see You can't sell. Ask the shop owner to give you access in Team & roles.
Shifts
If no shift is open on the branch, a banner shows at the top: No shift is open on this branch. Open one so the drawer adds up. It does not stop you selling. The sale is recorded without a shift. Tap Open shift to go to Shifts.
Add items
Each of these puts the item straight into the sale:
Plug in a USB or Bluetooth scanner and scan. You don't need to click the search box first; the scanner works anywhere on the page. You hear one beep when the item is found and a different one when the barcode isn't registered.
Scanning the same item again adds 1 to its quantity instead of a new line.
Unknown barcode
If a barcode isn't in your items, you see Barcode … isn't registered. If you can add items, the message has an Add as new item button. It opens a new item form with the barcode filled in. See Items.
Edit the cart
- Quantity: change it in the box under each item. Setting it to 0 removes the item.
- Remove an item: tap the bin icon on the line, or on a phone swipe the line left or right.
- Clear sale: the bin icon at the top removes all items, the customer and the discount, after you confirm.
- If the quantity is more than you have, an In stock warning shows on the line.
An unpaid sale stays saved on this device if you refresh the page.
Discounts
With the Give discounts permission you have two kinds:
- Item discount: the Discount button under any item.
- Invoice discount: the Invoice discount button next to the total.
Choose Amount or Percent %. There are quick buttons for 5%, 10%, 15% and 20%. You see the amount before and after, then tap Apply. Tap Remove discount to clear it. A discount can't be more than the amount.
With the See cost permission, tap Show profit at the top to see the profit on each item and on the whole sale as you sell.
Customer
Use the customer box above the cart to pick a saved customer by name or phone, or add a new one with just a name and phone. Leave it empty for a Walk-in customer. A customer is required to sell on credit. See Customers.
Payment
Tap Pay
Tap Pay (or F9 on a computer). The Payment sheet opens with the Total due.
Choose a method
- Cash: enter Cash given, or tap Exact or one of the suggested notes. The Change due is worked out for you.
- Wallet or InstaPay: choose the account the money came into.
- Card: shows only if you have a card account in Cash & wallets.
- On credit: the whole sale goes on the customer's account. You need the Sell on credit (آجل) permission and a customer picked.
- Split: when the customer pays more than one way, for example part cash and part wallet. Tap Add method for each extra method. Remaining must reach 0.
Confirm
Tap Confirm payment (or Ctrl+Enter / F9). The app remembers the last account you used for each method.
If you came from a wallet card on the home screen, the top shows Paying on with the wallet name, and the payment sheet opens on that wallet.
Below cost and stock rules
The shop owner decides in Settings what happens when a price after discount is below cost, or when an item isn't in stock. Each has three choices: Allow, Warn or Block.
- Warn: a Check before you continue sheet lists the items. Tap Continue sale if you're sure, or Back to fix it.
- Block: you see Can't complete this sale and nothing is recorded. For below-cost only, someone with the Sell below cost permission can continue after the warning.
If a credit sale would go over the customer's Credit limit, you see a warning with what they owe now and their limit. You can continue or go back.
After the sale
You see Sale recorded with the invoice number and total, plus the change to give if they paid extra cash. From here:
- Print receipt: prints an 80 mm thermal receipt.
- Sale details: opens the sale in Sales.
- New sale: back to an empty POS.
Returns are not done at the POS. Open the sale from Sales and tap Return.
Keyboard shortcuts
- F2: jump to the search box.
- F9 or Ctrl+Enter: open payment; inside the payment sheet, confirm it.
