Team and roles

Add staff, choose what each one can do, and limit them to their branches.

Add everyone who works with you. Each person has a role (a set of permissions) and the branches they work at, so they only see their own work. You pay per branch, not per person, so there's no limit on staff.

Where to find it

Go to Team & roles in the Admin section of the menu (or Settings → Team & roles). The page has two tabs: Team and Roles & permissions.

You need the Manage team and permissions permission to open this page. The owner always has it.

Add a staff member

The quickest way is to create a login for them with their phone number. They don't need an email.

Open the form

On the Team tab, tap Add staff by phone.

Fill in their details

  • Name
  • Phone: an Egyptian mobile number starting with 01. They sign in with it instead of an email.
  • Role: Cashier is picked by default.
  • Works at: All branches, or pick one or more branches.

Payroll

Answer Is this person on payroll?: No, add them creates a payroll record, Yes, already there links them to an existing one, and No salary skips payroll. Salary, commission and clock-in are tracked on the payroll record.

Send them the link

Tap Add staff member. You'll get a link: tap Copy link and send it to them yourself, or tap Send on WhatsApp.

They open the link, choose their own password, and are taken to the sign-in page with their phone filled in. From then on they sign in by typing their phone number in Email or phone. You never see their password.

The link works once, for 7 days. Until they sign in for the first time, they show Not signed in yet in the list.

After signing in, they're asked to link an email (with Google, or by typing it and confirming from their inbox). They can tap Not now; they'll be asked again next time. With an email linked they can reset their own password, and can still sign in with their phone.

If the person would rather use their own email, tap Send an invite. Choose the Role and Works at, optionally note their email, then tap Create invite link. Share it with Copy link or WhatsApp.

They open the link, create an account (or sign in), and tap Accept invitation. The link works for 7 days. Until then it shows under Pending invites, where you can revoke it with the bin icon.

Edit or remove a staff member

Tap anyone in the list to open their details:

  • Change their Role or Works at, then tap Save.
  • For phone logins, tap New password link and send it to them. They choose a new password from it. Use this too if they lost the first link.
  • Tap Remove from shop to stop them signing in. Their history stays, and you can bring them back later with Re-activate. You can also use the switch next to their name.

Removed people show under Removed.

Only the owner can give someone the Owner role or edit another owner's account. The owner's own role can't be changed.

Roles and permissions

Every shop starts with built-in roles:

RoleWhat it's for
OwnerEverything. This role is fixed.
ManagerRuns the shop day to day: selling, items, stock, purchases, customers, cash and wallets, expenses and reports.
CashierSells, handles returns and credit sales, sees customers, does wallet transactions and opens and closes shifts.
TechnicianReceives, repairs and hands over devices, takes payment at handover, and sees customers. No costs, profit or cash management.
AccountantCosts, purchases, paying suppliers, collecting from customers, expenses, salaries, attendance and reports.

On the Roles & permissions tab, each role shows how many permissions it has and how many people use it.

Change a role

Tap a role, turn permissions on or off, and tap Save. Permissions are grouped by area (Selling, Items, Stock and so on), and each group has Select all / Clear all. Changes apply right away, even to staff who are signed in now.

Create a role

Tap New role, enter an Arabic name (and optionally an English name), pick its permissions, and tap Save. To start from an existing role, open it and tap Duplicate.

To delete a custom role, nobody can have it. Move those people to another role on the Team tab first.

If you remove Manage team and permissions from your own role, you won't be able to open this page again.

On the Wallets plan, roles only list the permissions that plan uses (wallets, shifts, finance reports, team, settings and the audit log).

Every permission change is recorded in the audit log.
