Expenses
Record what the shop spends (rent, power, internet…), see each month by category, and set up recurring expenses with automatic reminders.
Record everything the shop spends here. Expenses reduce your net profit, and if you pick the account the money came from, its balance goes down too.
Where to find it
In the menu: Money → Expenses. The page has two tabs: This month and Recurring.
Recording, reversing and managing categories need Record expenses. People with See profit and finance can open the page and view it.
Record an expense
Tap New expense
On the Expenses page.
Enter the amount
Type the amount.
Pick the category
Under What for?, pick a category such as Rent, Electricity or Internet & phone.
Pick where it was paid from
Under Paid from, the cash box is picked for you. You can pick another account, or Not from an account if it was paid outside the shop's accounts.
Date and note
The Date is today unless you change it (it can't be in the future). Add a Note if you want, then tap Save expense.
If you have more than one branch, the expense is recorded on the branch you're working in.
The month view
Pick the month with the arrows at the top. You see Spent this month, how many expenses there were, and a bar for each category. Tap a category to show only its expenses, and All categories to go back. With more than one branch you can also pick All branches or one branch.
Expenses that came from a recurring expense are marked Recurring.
Reverse an expense
If you recorded an expense by mistake, tap the undo icon next to it, enter a Reason and tap Reverse expense. Nothing is deleted: a reversing entry is added and both stay visible. The expense is marked Reversed, and if it was paid from an account the money goes back to that account.
Categories
Tap the settings icon at the top to open Expense categories. Tap Add category to add one with a name and icon, or the pencil to edit one. Turned-off categories are hidden from new expenses; old ones stay.
Recurring expenses
For things you pay every month, like rent, power and internet. Add them once and Mobilat reminds you before each due date. Open the Recurring tab.
Add a recurring expense
Tap New recurring
On the Recurring tab.
Fill in the details
Pick the Category, then enter a Name (for example "Shop rent") and the Monthly amount. If it varies, like electricity, use a typical value; you can change it when posting.
Pick the day and reminder
Under Due on day, pick a day from 1 to 28. Under Remind me before, pick Same day or 1, 2, 3, 5 or 7 days.
Pick where it's paid from
Under Paid from, pick the account. With more than one branch, pick the Branch too. Then tap Save.
Reminders arrive automatically, in the app and as a push notification.
Post it each month
At the top you see Monthly (the total of all active recurring expenses), Posted this month, and how many are Pending. Each card shows its state: due, overdue, or posted.
- Tap Post for this month to record it with its saved amount.
- Tap Other amount to record a different amount this month.
Each recurring expense can be posted once per month. You can also pick a past month and post one you missed there.
If you reverse a posted recurring expense, that month becomes due again. The card shows Posted then reversed, and you can tap Post as a regular expense.
To pause a recurring expense, edit it and turn off Active. It moves to Paused.
