Repairs
Receive a device, record parts, labour and deposits, and hand it over with an invoice. Customers can track it on your shop page.
Repairs follows every device from drop-off to handover. You record the fault and technician, the parts and labour, and any deposit. At handover the app makes the invoice for you.
Where to find it
In the menu: Sales → Repairs. On a phone it also shows in the bottom bar for people who receive devices but don't handle wallets, such as technicians.
The page shows for people with See repairs or Receive, repair and hand over devices. Receiving, editing and adding parts need Receive, repair and hand over devices. Handover also needs Sell at the POS, because it creates a sale.
The repairs list
Devices are split into tabs: In progress (received or in repair), Ready, Closed (handed over or returned unfixed) and All. Search by ticket number, device, customer, phone or IMEI.
If a device is past its promised date and not finished, it is marked late.
Receive a device
Tap Receive device
On the Repairs page.
Customer
Enter the Customer phone. If they're already saved you see Existing customer and their name. If not, enter the Customer name; they are added to Customers for you.
Device and fault
Enter the Device and the Fault (both required). You can add the Estimate you quoted and pick a Technician from your staff.
Deposit (optional)
If the customer paid a Deposit, enter it and choose where it was Received into. It is taken off the bill at handover.
More details
Tap More details (IMEI, passcode, condition) to record IMEI / serial, Passcode / pattern, Received with (case, SIM…), Promised for, Condition on arrival and Notes.
Save
Tap Receive device. A numbered repair ticket is created and opens.
Give the customer the ticket number. With it and their phone number they can track the device on your shop page.
Statuses
At the top of the ticket are four steps: Received, In repair, Ready, Handed over. Tap a step to move the device to it. You can't tap Handed over; it happens only when you hand the device over.
When you set it to Ready, the WhatsApp button becomes Tell them and sends the customer a ready message with the device, ticket number and amount due.
Parts and labour
In Parts & labour, tap Add and choose:
- From stock: a part from your stock. Spare parts (items whose usage is spare part) come first, then sale items. Enter the Qty and the Price to the customer.
- Bought for it: a part you bought for this repair. Enter what You paid, then choose Pay later (supplier) or Paid now and the account. If the part is new, type its name and it's added to your spare parts. This option shows only for people with Enter purchases.
- Labour: enter the Labour amount and an optional Description, such as screen replacement.
Below you see Parts, Labour, Total, the deposit and Due from customer. If you can see cost, a Your profit section shows the profit on labour and parts.
Tap the X next to a line to remove it. A part you bought stays in your spare-parts stock, and the supplier's account doesn't change.
Deposit
With the Deposit button on the ticket you can Add to deposit or Give back, and choose the account. The deposit is recorded on the customer's account and shows on their statement.
Hand over the device
Tap hand over
If money is due, the button reads Hand over · collect with the amount. If the deposit covers the bill or the bill is zero, it reads Hand over and you just confirm.
Choose payment
The same Payment sheet as the POS opens: cash, wallet, InstaPay, on credit, or split.
Done
The device is marked Handed over and a Handover invoice is created. It shows in Sales and is linked from the ticket.
If a part is short in stock or priced below its cost, you see Check before handover and can continue or go back. If the deposit is more than the bill, the difference stays as customer credit.
Return unfixed
If the device goes back without a repair, tap Return unfixed and enter a Reason (required). If there's a deposit, choose Give it back (and the account) or Keep as credit for a later purchase. Then tap Close ticket.
Customer tracking
If you turn on Repair tracking in your shop page settings, your shop page shows a Your repair section. The customer enters the Ticket # and the phone they left the device under, then taps Check. They see the status, when it was received, the expected date, the estimate if you entered one, and the branch with its phone number.
