Reports
Profit & loss, margin by item, stock value, aging of debts, and shift variance, and how each number is worked out.
Reports show how the shop is doing for any period. Every number links to the rows behind it, and each report can be downloaded with Export CSV.
Where to find it
In the menu: Reports → Reports & profit. You'll see a card for each report you're allowed to open.
The menu item shows for people with See margins or See profit and finance. Each report has its own permission, listed below. On the Wallets plan, only the shift variance report is available.
Period and branch
Most reports let you pick the period: Today, Yesterday, 7 days, This month, Last month, or your own dates with Pick dates. If you can see more than one branch, you can switch between this branch and All branches.
Profit & loss
Gross and net profit for the period, with every sale line behind it.
Permission: the full P&L needs See profit and finance. With only See margins you see the lines and their profit, without the P&L cards.
Gross profit
- Revenue (net of returns): sales minus returns in the period.
- Cost of goods: the cost of what was sold, minus the cost of what came back.
- Gross profit = revenue − cost of goods.
The cost of each item is its average cost, saved on the sale line at the moment of the sale. The average is updated with every purchase: the stock you had at the old average plus the new quantity at the new cost.
If something was sold without a known cost, the card is marked Incomplete and shows how many lines and how much revenue. Tap it to see Items sold without cost. Record a purchase for the item, or an opening balance with cost; future sales will then be calculated correctly.
Net profit
Net profit = Gross profit − Expenses − Salaries + Net wallet commissions.
- Expenses: from Expenses, by expense date.
- Salaries: base salary, commission, bonuses and deductions for the months in the period. Advances and payments are not counted here (see Salaries).
- Net wallet commissions: your wallet commissions minus network fees and transfer fees (see Cash & wallets). Wallet volume itself is not revenue.
Below net profit you see Owner withdrawals, marked Doesn't reduce profit.
Lines behind the number
Under the cards is every sale and return line, with Revenue, Cost, Profit and the percentage. Filter by item, category or cashier, or show No cost only. The line totals are checked against the P&L above.
Margin
Who earns the most: by Items, Categories or Cashiers. Sort by Profit, Revenue or Margin %. Tap a row to open its lines in the profit report.
Lines sold without a cost are flagged; their profit counts cost as zero.
Permission: See margins or See profit and finance.
Margin or markup
The percentage follows your setting in Settings under How is profit % shown?:
- Margin: profit as a % of the selling price.
- Markup: profit as a % added on top of cost.
Example: cost 75, price 100 = margin 25% / markup 33%.
Stock
The value of what you hold now, and the items that need attention. Pick a view:
| View | What it shows |
|---|---|
| Value | Items in stock, with Value at cost = quantity × average cost. |
| Dead | Items in stock with no sale (or since they came in) for your dead-stock days. |
| Low | Items with a reorder level, at or below it. |
| Below cost | Items whose sale price is lower than their average cost, with the Loss / unit. |
| Negative | Items whose quantity is below zero. |
Items in stock without a cost are left out of the value, and the report tells you how many. The number of dead-stock days is set in Settings.
Permission: See cost, See margins or See profit and finance.
Aging
How old the money owed is, for Suppliers (what you owe) or Customers (what they owe you). Each balance is split into 0–30 days, 31–60 days, 61–90 days and 90+ days, with the Last payment date.
How it's split: the balance is matched against the newest charges first. Each charge's age counts from its due date, or from the day it was recorded if it has none. Whatever is left over goes to 90+ days.
Permission: suppliers need See purchases and suppliers; customers need See customers or Manage customers and credit.
Shift variance
Short and over per employee for shifts opened in the period: Shifts, Short, Over and Net. It adds up the differences recorded when shifts were opened and closed. See Shifts.
Permission: See everyone's shifts or See profit and finance.
