Shifts

Open a shift by confirming the cash box and wallets, close it by counting the cash, and see who was short or over.

A shift starts when someone confirms what's in the cash box and each wallet, and ends when they count it again. Any difference between the count and the books is recorded on that shift and that employee.

Where to find it

In the menu: Money → Shifts. You can also get there from the ⋮ menu on Cash & wallets.

The page shows for people with Open and close shifts or See everyone's shifts. Opening and closing need Open and close shifts. Without See everyone's shifts you only see your own shifts.

Open a shift

Each branch has one open shift at a time.

Tap Open shift

When there's No open shift, tap Open shift.

Confirm each account

Every account on the branch is listed with its Expected balance from the books, already filled in. If the real amount is different, type it.

Open

Add a Note (optional) if you want, then tap Open shift.

If an amount at opening differs from the books, that difference is recorded too, so the books match what's really there from the start.

During the shift

The page shows Shift open, who opened it, since when, and the Duration. Below it you see the shift's totals: Sales, Collected from customers, Supplier payments, Expenses & withdrawals, Wallet transactions with Net commission, and the Net movement per account.

Tap Details to open the shift page.

Close a shift

Tap Close shift

On the open shift card.

Count the cash box

The cash box field is empty on purpose. Count what's physically in the drawer and type it. You can't close until you do.

Check the wallets

Wallet lines are filled in with the expected balance. Change any that are different. As expected puts the expected amount back.

Confirm

Tap Close shift. You'll see either Everything matches. Close the shift now. or the short and over amounts. Tap Close shift to confirm.

The person who opened the shift can close it. Someone with See everyone's shifts can close anyone's shift.

Short and over

Each account shows its difference while you type:

  • Short: less than expected.
  • Over: more than expected.
  • Balanced: matches.

When you close, each difference is posted as a Shift variance movement on that account, so the books now match what you counted. The difference stays linked to the shift and the employee. If a shift closes with a difference, people with See everyone's shifts get a notification.

Shift page

The shift page shows Opened by, Closed by, the times, the Duration and any notes. It has the Opening count and Closing count, each with Expected, Counted and Variance per account, and the Movements during the shift.

Variance by employee

People with See everyone's shifts or See profit and finance see Variance by employee for the current month: how many shifts each person had and their total short and over. For any period, use the shift variance report.

On the Wallets plan

The drawer also holds shop money, so the cash box isn't counted. You confirm the balance on each wallet and InstaPay line, and the cash moved by wallet transactions shows as Wallet cash with no count needed.
