Items

Add items by barcode, with variants (model and color), or as bundles. Group them in categories, import them from Excel, and print barcode labels.

The Items page holds everything you sell or use in repairs: name, price, barcode and reorder level. An item must be here before you can sell it at the POS or buy it on a purchase.

Where to find it

From the menu: Stock → Items. On a phone it's also in the bottom bar.

Anyone on the team can open the page and look. Editing needs permissions (see Permissions below).

The items list

  • Search: type in Search name, barcode or SKU.
  • Status: Active (the default), Low stock (at or below the reorder level), Inactive, or All.
  • Category: pick a category, or Uncategorized. If you have spare parts you also get Repair parts.

Each item shows tags such as Bundle, Spare part, Low or Inactive, and the number of variants if it has any. With the See cost permission you also see cost and margin.

Item kinds

The first choice on an item page is its kind:

One item at one price, like a 20W charger. It has one or more barcodes, a sale price, a SKU and a reorder level.

If an item has more than one variant, you can't switch it to Simple or Bundle until you remove or disable the extra variants.

Add a new item

Tap Add item. On a new simple item the Barcodes field comes first, because the barcode can fill in the name for you.

Scan the barcode

Scan with a USB or Bluetooth scanner, tap the camera icon (Scan with camera), or type the number in Scan or type a barcode and press Enter. One item can have several barcodes.

Let Mobilat look it up

You see Looking up the barcode…. If we find it, you see Found this product by its barcode and the name and brand fill in (only if those fields are empty). If there are several suggested names, tap the right one, or edit it yourself.

Fill in the basics

Name (Arabic) (required), Name (English), Brand, Category (pick one, or type a new name and tap Add to create it), and Unit (Piece, Box, Pack, Set, Meter).

Price and quantity

Enter the Sale price, the SKU if you use one, and the Reorder level. If you have stock now, enter Opening qty and Unit cost.

Save

Tap Save item.

Where the name comes from

First we check the names other Mobilat shops saved for the same barcode. If there are none, we search public product databases and the web. Sometimes nothing is found, especially for unbranded accessories. Then just type the name.

If you scan an unknown barcode at the POS, you can tap Add as new item and the new item page opens with the barcode already filled in.

No barcode?

Tap Internal barcode next to the barcode field. Mobilat creates a new barcode that's unique in your shop, marked internal. Then print it as a sticker from Labels.

Barcodes can't repeat. If the barcode is on another item you see Barcode already used by: and that item's name. The same goes for SKUs.

Item settings

  • What is this item?: Goods for sale or Repair spare part. A spare part has stock and cost as usual, but stays out of the POS. You use it from Repairs.
  • Active: inactive items are hidden from the POS.
  • Show on the shop page: only appears when your public shop page is on, and only for goods for sale and bundles. See Shop page.
  • E-invoice settings: Tax rate %, Code type (None, GS1 or EGS), and ETA item code.
  • Notes: anything to remember about the item.

On a saved item, Stock by branch shows the quantity in each branch, with a link to that item's movements if you have the permission. If you can see cost, Avg cost and the margin appear under the sale price.

Variants

Choose Variants, then:

Name the options

Type an option name (or pick a suggestion: Model, Color, Size, Capacity). You can add up to 3 options with Add option.

Type the values

In each option, type the values and press Enter after each one, for example A15 and A25.

Generate the variants

Tap Generate variants. Mobilat makes one variant per combination, for example 2 models × 2 colors = 4 variants.

Fill in each variant

For each variant: Price, SKU, Reorder at, barcodes, and Opening qty and Unit cost for new variants. To save time, select variants and use Set price, Set reorder, Enable or Disable on all of them at once.

If you delete a variant that has history, it isn't deleted: it's disabled instead. Then press save.

Bundles

Choose Bundle. Under Bundle items, search or scan items and set each quantity. Enter the Bundle price and you see the Components total with Customer saves or Bundle is more by. Bundles have no opening stock or reorder level, and a bundle can't contain another bundle.

Delete or deactivate

From the three-dot menu at the top of the item page:

  • Deactivate: hidden from the POS, but all its history stays.
  • Delete item: only works if the item has no sales or stock history. Otherwise you see This item has history and we offer Deactivate instead.

Categories

On the Items page, tap the three dots → Categories.

  • Add: type a category name (for example, Chargers) and tap Add.
  • Reorder: with the up and down arrows next to each category.
  • Edit: change Name (Arabic) and Name (English).
  • Deactivate: with the switch next to the category. An inactive category doesn't show in the filters or when picking a category for an item.

Each category shows how many items it has. You can also create a category while editing an item.

Import

If your items are in a spreadsheet, on the Items page tap the three dots → Import from Excel.

Choose the file

Excel (.xlsx) or CSV. The first row must be the column headers. Not sure where to start? Tap Download template (CSV) and fill it in.

Match the columns

Mobilat guesses each column from its header. Check and fix: Name (required), English name, Category, Brand, Barcode, SKU, Sale price, Cost, Quantity, Reorder level, and up to 3 options (model, color…). Choose Not in the file for any column you don't have.

Review

Tap Review data. You see New items, Updates and Errors, and you can filter the rows and see why each error happened.

Import

Tap Import. Rows with errors are skipped. If the import stops halfway, what was done is saved. Tap Continue to resume.

Rules to know:

  • Rows with the same name that differ by model or color become variants of one item. The same name with no option to tell them apart is an error.
  • If the barcode or SKU already exists in your shop, the row updates only the price and reorder level. Quantity is ignored for existing items. Use a stock adjustment.
  • Quantity for new items is recorded as opening stock in the branch you have open, with its cost.
  • Missing categories are created for you.
  • A barcode or SKU repeated inside the file is an error.

Importing needs the Import from Excel permission plus Add and edit items. Without Change prices the price is saved as 0, and without Adjust stock quantities aren't recorded.

Labels

Stickers for items without a manufacturer barcode. On the Items page, tap the three dots → Print labels.

Pick the items

Scan or search by name, or tap All without barcode. The number of labels for each item starts at its quantity in stock, and you can change it.

Pick the size

38×25 or 50×30 for roll label printers. Pick the same size in the printer settings. Or A4 sheet: 24 labels per sheet (3 × 8), 70×37mm.

Choose what shows

Tick Shop name and Price if you want them on the label, and check the Preview.

Print

Tap Print. Any item marked Will get an internal barcode gets a new barcode, saved on the item, before printing.

Generating internal barcodes needs the Add and edit items permission. Bundles don't appear in label printing.

Permissions

  • Add and edit items: add, edit and delete items and categories. Without it you see View only.
  • Change prices: change the sale price.
  • See cost: see cost and margin.
  • Adjust stock: enter opening stock.

Permissions are set in Team and roles.
