Suppliers
Add the traders you buy from, track what you owe each one, pay them from cash or a wallet, and see each supplier's statement.
The Suppliers page shows where you stand with each trader: how much you owe, when you last paid, and which amounts are past their due date.
Where to find it
From the menu: Purchasing → Suppliers.
Viewing suppliers needs the See purchases and suppliers permission (or Enter purchases). Paying a supplier needs Pay suppliers. Editing details, opening balances and adjustments need Manage suppliers.
The suppliers list
At the top you see You owe suppliers (with how many suppliers you owe) and Suppliers owe you. Search by name or phone, and filter by We owe or They owe.
Each supplier shows their balance: we owe, owes us, or Settled, plus when you Last paid.
Add a supplier
New supplier
Tap New supplier. You can also add one while recording a purchase, by typing the name in the supplier field.
Details
Name (required), Phone, Address, and Notes.
Payment terms
Pick Payment terms (days): Cash, 7, 15, 30 or 60 days, or type any number. It's used to set the due date on purchases, and purchases from a supplier with terms start as On credit.
Save
Tap Save.
Later you can edit the details from the supplier page → three dots → Edit details. That's also where you turn off Active if you stop dealing with them.
Supplier balance
The top of a supplier's page shows You owe, Owes you or Settled, the payment terms, and the Last payment.
The balance comes from these entries:
- Purchase invoice: the unpaid (credit) part adds to what you owe.
- Payment: lowers what you owe.
- Return to supplier: lowers what you owe.
- Supplier refund: when the supplier pays you back for a return.
- Opening balance and Adjustment.
- Reversal: the opposite of an entry that was reversed.
Opening balance
If you owed them before starting on Mobilat, open the three dots → Opening balance, choose We owe them or They owe us, and enter the amount. Each supplier gets one opening balance.
Adjust balance
If you agreed on a discount, for example, open the three dots → Adjust balance: Increase what we owe or Decrease what we owe, then enter the amount and the Reason (required).
Pay a supplier
Pay
On the supplier page tap Pay.
Amount
Enter the Amount, or tap Full balance or Half.
Pay from
Pick the cash box or wallet. The money leaves it.
Save
Add a note if you want, check Balance after, and tap Save payment.
You can also pay while recording the purchase itself (Paid in full or Partly). See Purchases.
Statement
The bottom of the supplier page has three tabs:
- Ledger: the statement. Each entry with its type, amount and date, and the Bal. after it. Invoices show their due date, and invoices (and returns made from a purchase) link to the purchase.
- Purchases: every purchase from this supplier, each marked Paid, Credit or Voided.
- Returns: every return, each marked Deducted or Refunded. You can start a New return here.
If you owe money, you also see Aging by due date: 0–30 d, 31–60 d, 61–90 d and 90+ d.
Reverse an entry
For a payment, opening balance or adjustment entered by mistake on the supplier page, tap Reverse next to it and enter a reason. A reversing entry for the same amount is recorded, and for a payment the money goes back to the account it was paid from. Invoices and returns can't be reversed here. A purchase is voided from its own page. See Void a purchase.
Return to supplier
From the three dots → Return to supplier. Scan or search the items you're returning, set the quantity and cost, and choose Deduct from balance or Paid me back. For a return against a specific purchase, start it from that purchase's page. See Return to supplier.
Purchases
Record goods from a supplier with a scanner, pay from cash or a wallet or put it on credit, spread transport costs over item cost, and return goods to the supplier.
